Private photoshoot - booking policy

We are so happy you’re considering booking a private photoshoot with us.
Below you’ll find all the important details about booking, payments, cancellations, and rescheduling. Our goal is to keep things clear, fair, and flexible — especially when working with families and little ones.

Because this session can include multiple households on the same date, pricing and conditions depend on how many households participate. The terms below are structured according to the number of households booked. Please take a moment to read through before confirming your reservation.

 

1. Booking and Payment
 

  • All photoshoots are booked through our online booking system.

  • Because this is a shareable private session, the final price, duration, and number of images will be dependent on how many households participate. Below are prices and photoshoot content per household:

    • 1 household: 325€, 60 minutes, 10 digital pictures

    • 2 households: 162,50€, 30 minutes, 5 digital pictures

    • 3 households: 108,50€, 20 minutes, 4 digital pictures

 

Participant confirmation deadline

  • 7 days before the session, the final number of households is confirmed, and the booking enters the price lock stage.

  • At that point:

    • The session duration and included image package are confirmed.

    • The number of currently registered households is used to calculate the final price per household.

    • The remaining balance is invoiced to the participating households.

  • After this point, changes or rescheduling by other households will not affect the confirmed details for your photoshoot session.

  • If one household withdraws before the participant confirmation deadline, pricing adjusts for the remaining household.

 

Additional Households Join After Participant confirmation deadline

If additional households wish to join the same private session after the Participant confirmation deadline, participation may still be possible if scheduling capacity allows.

In such cases:

  • The total session price will be recalculated and divided between all participating households.

  • The final balances of previously registered households may be adjusted accordingly.

  • Any price adjustment will be communicated and updated invoices issued when applicable.

Booking fee

  • A booking fee of 108,50 € is required when making the booking to secure your reservation.

  • This fee:

    • Reserves your selected date and time

    • Covers planning and photoshoot preparation

    • Protects the reserved time from possible last-minute cancellations

  • Once your booking is confirmed, that time is removed from our calendar for other bookings, and is reserved exclusively for you.

  • The possible remaining balance will be invoiced 7 days before the scheduled photoshoot and must be paid no later than 48 hours before the scheduled session.

    • If payment is received later than 48 hours before the session, a 15€ late payment fee will apply.

    • If the remaining balance is not paid, the booking will be cancelled and the booking fee will not be refunded.

Booking fees are non-refundable in cancellation situations described below because:

  • Time has been reserved

  • Setup is prepared

  • Booking fees protect possible other households left at the session in cancellation situations and their pricing won't change if one household cancels a session after the Participant confirmation deadline.

Please also note that payment providers charge non-refundable transaction fees for all payment transactions. If a refund is issued, those processing fees are deducted, as they are not returned to us.

2. Terms governing 1 household bookings

 

Rescheduling

More than 7 days before session

  • You may reschedule to any available private session date.

Less than 7 days before session

  • A complimentary rescheduling is possible once under the same conditions.

  • Any additional rescheduling will incur a 30 € fee

 

Cancellation

More than 14 days before session

  • You may cancel your booking up to 14 days before your scheduled photoshoot. 

  • Your booking fee of 108,50€ will be returned, payment processing fees will be deducted from the refund.

14–8 days before session

  • We will retain 50% of the booking fee to cover planning

7–2 days before session

  • We will retain 100% of the booking fee to cover planning and preparation costs. 

  • Final balance doesn't have to be paid.

Less than 2 days before session

  • We will retain 100% of the booking fee to cover planning and preparation costs. 

  • 30 € last-minute cancellation fee is added

  • Final balance does not need to be paid.

 

If the photographer must cancel due to illness or emergency, you may choose between a full refund or rescheduling.

 

3. Terms governing Multihousehold bookings

 

Rescheduling

More than 7 days before session

  • All households may reschedule together to a new private session date.

  • If only one household reschedules:

    • ​​Pricing and session content adjusts before the Participant confirmation deadline for all households that have made a booking

Less than 7 days before session

  • All households may reschedule together to a new private session date.
    OR

  • You may transfer your booking to one of the upcoming mini photoshoot sessions within the next 5 months, subject to availability.

    • 100% of the amount paid by your household toward the original booking will be applied toward the mini session booking. The final balance due towards the original booking must still be paid.

    • If the mini session price exceeds the amount paid toward the original booking, you are required to pay the difference.

    • If the mini session price is lower than the amount paid toward the original booking, the difference will not be refunded.

    • The number of digital images included remains as originally booked.

    • If you want to reschedule again to another mini photoshoot after the 5 month limit, we will add a 30 € rescheduling fee.

 

Cancellation

More than 14 days before session

  • You may cancel your booking up to 14 days before your scheduled photoshoot. 

  • Your booking fee of 108,50€ will be returned, payment processing fees will be deducted from the refund.

  • If other households remain in the original session, the final price, session duration, and number of digital images may change based on the updated number of participating households before the Participant confirmation deadline.

14–8 days before session

  • We will retain 50% of the booking fee to cover planning and preparation costs.

  • If other households remain in the original session, the final price, session duration, and number of digital images will change based on the updated number of participating households before the Participant confirmation deadline.

7-2 days before the session

  • Cancellations made after the Participant confirmation deadline results in forfeiture of the amount paid.

  • After the Participant confirmation deadline, the confirmed session price becomes binding. In case of cancellation, the household remains responsible for the full confirmed session price. Any unpaid balance remains payable.

Less than 2 days before session

  • 30 € last-minute cancellation fee will be added.

If the photographer must cancel due to illness or emergency, you may choose between a full refund or rescheduling.

4. At the photoshoot

  • Please arrive on time for your session.

  • We are committed to providing a respectful and welcoming environment for everyone. In rare cases of inappropriate behaviour we reserve the right to end the session without refund.

 

5. Image delivery

  • After the photoshoot you will receive a sample picture folder, from which you may choose your favorite images

  • Final edited digital pictures are delivered 2-3 weeks after you have selected your favourite images.

  • The photographer retains creative control over editing style, the client may express some wishes

  • We do not hand out RAW image files

  • Your photoshoot package will determine how many edited images are included in your package. You may purchase additional images for the price of 15€/image.

  • You may print and share the images that you have purchased for personal use.

  • Copyright remains with the photographer.

 

We will ask consent to using your images for marketing in the photoshoot booking form. If you give us permission to use your images we will also ask if you want the faces of underage participants covered.

 

6. Force Majeure

If circumstances beyond our control (such as illness or unexpected events) prevent the session from taking place, we will first offer rescheduling.

If rescheduling is not possible within a reasonable time, payments made will be refunded.

7. A gentle note

We truly understand that children get sick and plans change unexpectedly.

Our policies are not designed to be strict — they are designed to protect the time, preparation and fairness between families sharing the same session date.

Behind every booking there is:

  • Reserved calendar time

  • Studio setup and styling

  • Administrative preparation

  • Non-refundable payment processing costs
